Executive Communications and Public Works Assistant Location Milverton, ON :
The Township of Perth East is currently recruiting for one (1) Executive Communications and Public Works Assistant ( full time, 12-month contract). Reporting to the Chief Administrative Office (“CAO) and the Manager of Public Works the Executive Communications and Public Works Assistant provides strategic, administrative and clerical support to the CAO in the management and organization of all administrative matters, in addition to administrative backing to the Public Works Department. The incumbent assists the CAO with sensitive matters that require confidentiality and discretion. The Executive Communications and Public Works Assistant is responsible for communicating and liaising with the Mayor, Council, Senior Management and various levels of government.
Core Responsibilities:
- Provides administrative technical and logistical support to the CAO and Public Works while managing and resolving administrative issues;
- Drafts agendas and correspondence, takes and reviews meeting minutes, background and briefing notes. Organizes and maintains records maintenance systems;
- Coordinates meeting requests, reviews appointments, calendars, schedules, tracking deadlines and due dates;
- Develops and implements corporate policies and procedures in partnership with the CAO and/or the Manager of Public Works;
- Researches and coordinates special projects;
- Establishes and maintains a professional working relationship with staff, members of Council, representatives of government agencies and the public;
- Maintains a general awareness of local matters and issues affecting the Municipality
- Tracks expenditures and processes (codes and files) legal invoices;
- Acts as the Emergency Information Officer in accordance with the Township's Emergency Response Plan;
- Coordinates and prioritizes work to meet deadlines and seeks opportunities to drive improvements;
- Monitors all corporate social media accounts. Posts updates regarding Township activities, upcoming registrations and deadlines and other informational and promotional pieces;
- Coordinates functions, special events and meetings including arranging facilities, preparing announcements, programs, agendas and supporting materials;
- Acts as a backup for registrations, travel and accommodations arrangements for the Mayor and Councilors as required;
- Supports departmental updating/postings and maintenance of the Township's website;
- Responsible for communications for the Community Safety and Well-Being Committee;
- Back up to front counter reception duties;
- Develops and distributes welcome packages for new residents/businesses;
- Assists with Economic Development initiatives including organizing/marketing Business spotlights;
- Provides back-up support to other Administrative Assistant roles in the organization;
- Provides Administrative roles/responsibilities to back up Department Managers with administrative tasks at the CAO's discretion;
- Follows health and safety policies and procedures, the Occupational Health and Safety Act and other relevant regulations to ensure a safe working environment;
- Performs other duties as assigned by the CAO.
Qualifications:
- Post-Secondary degree or diploma in business, business administration, office administration or a related field required
- Minimum of one (1) to three (3) years related experience, preferably in a Municipal environment
Skills and Knowledge: - Advanced professional proficiency using Microsoft Office programs;
- Strong written and verbal communication, interpersonal, public relations/customer service skills required;
- Effective organizational and time management skills, and the ability to function under pressure;
- Experience in website and social media applications;
- Ability to work independently as well as effectively on a team.
Working Environment: - Work regularly involved direct contact with the public, elected officials, other levels of government, residents or staff to provide or obtain information important to the Township's operation;
- Works with interruptions while expected to meet deadlines;
- Exposure to disagreeable people and situations can be expected;
- Inter-departmental assistance may be required on occasion.
Position Details: - The hourly wage for this position is $28.23 - $35.28/ hour based on a 35 hour work week.
