We are currently growing our presence in Japan and looking for a sharp, trustworthy, and proactive Executive Assistant to support our leadership team.
As the 庶務担当 – Administrative Support Staff , you will work closely with the international and local management team to coordinate schedules, meetings, travel, and internal communications. You will act as the right hand to the General Manager and help ensure smooth business operations during a critical phase of our market entry and growth in Japan.
Manage schedules, calendar appointments, and meeting coordination.
Expense Management
Organize and translate business documents (Japanese ↔ English).
Assist with travel planning, including flight and hotel bookings.
Prepare presentations, meeting notes, and follow-ups.
Communicate with customers, suppliers, and partners on behalf of management.
Support with office setup, supplier coordination, and expense reporting.
Maintain confidentiality and professionalism at all times.

Proven experience as an Executive Assistant, Office Manager, or similar role.
Native-level Japanese and strong English (business-level) required.
Highly organized, detail-oriented, and proactive in solving problems.
Comfortable in international environments and fast-paced settings.
Proficient in Microsoft 365 (Word, Excel, Powerpoint, Onedrive, Sharepoint).
Strong written and verbal communication skills.
Experience in the automotive , tech , or startup industries is a plus.
